An accountant asked every new client the same question at intake: 'How did you hear about us?' The honest answer was usually some version of 'I'm not totally sure'; they'd seen a Google search result months earlier, forgot about it, gotten a referral from a friend, then finally searched the firm's name directly and filled out the contact form. The intake form recorded the answer as 'referral.' The analytics recorded it as 'organic search.' Neither was wrong, and neither was complete.

Why 'how did you hear about us' isn't reliable data

Self-reported source data is useful anecdotally but it's a weak measurement tool on its own, because people don't remember or don't distinguish between the touchpoint that first created awareness and the one that finally prompted action. Someone might credit a friend's mention when the actual reason they searched that day was an ad they saw the night before and half-forgot. This is a structural limitation of asking a human to accurately recall their own multi-week decision process. It should be treated as one input, not the source of truth.

What system-level tracking actually captures

System-level lead source tracking, which captures first-touch and last-touch data automatically via a website form, a call tracking number, or a booking widget, does not have the memory problem because it records what actually happened at the moment it happened rather than relying on someone reconstructing it weeks later. The tradeoff is that system tracking only sees channels it's actually instrumented to see: a phone call to a number that isn't set up with call tracking, or a walk-in referred verbally, leaves no digital trail at all no matter how good the web analytics setup is.

Building a lead source field that survives the full funnel

The practical fix for the accountant's problem is making sure whatever source gets captured on first contact travels with that lead all the way through to when they become a client. That requires a CRM field, populated at the moment of intake from the actual UTM or call-tracking source (not asked as an open text question), that stays attached to the record through every subsequent stage. Too many businesses capture source data accurately at the top of the funnel, in the marketing tool, but lose it the moment the lead gets handed to a sales or intake process that uses a separate spreadsheet or a different system with no matching field.

  1. Confirm the intake form or CRM has a dedicated, structured lead-source field, not a free-text note buried somewhere else.
  2. Auto-populate that field from UTM parameters or call-tracking data at the point of first contact, rather than relying on someone typing it in later
  3. Carry that field through every subsequent pipeline stage so it's still visible when the lead closes, not just when it first arrives
  4. Reconcile self-reported answers against the system-captured source periodically; large, consistent mismatches usually mean a tracking gap worth investigating, not that customers are answering incorrectly.
Lead source data that dies at intake can't tell you anything about which channels actually produce paying customers, only which channels produce form fills.

Closing the loop back to marketing spend

The entire point of tracking lead source carefully is connecting it, eventually, to closed revenue, not just counting leads by channel. A channel that produces a high volume of leads that rarely close is a worse investment than a channel producing fewer leads that close reliably, and that comparison is only possible if source data survives from first touch all the way to a won or lost outcome recorded in the same system. For service businesses across real estate, legal, healthcare, and home services alike, this closed-loop view is usually the single biggest gap between 'we run marketing' and 'we know what our marketing is actually worth.' A properly configured CRM makes that loop possible; see how this is structured at NetWebMedia's CRM overview.
