Picture a beauty salon owner who can no longer access her own Facebook Page. The employee who set up the Page years earlier, under her own personal profile, has left the company and taken the only admin access to the business's main marketing asset with her. Rebuilding access can take weeks of Meta support tickets. The entire problem traces back to one setup decision made years earlier: the Page was never properly claimed inside a Business Manager account owned by the business itself.

The foundational mistake: personal profile ownership

A Facebook Page or Instagram account created and managed entirely through one person's personal profile is fragile; if that person leaves, loses access to their personal account, or simply becomes unavailable, the business can lose control of its own presence. The fix is Meta Business Suite and its underlying Business Manager, which lets a business own its Pages, ad accounts, and Instagram accounts as business assets, with individual people granted role-based access rather than owning the asset personally.

Setting up Business Manager the right way from the start

  1. Create the Business Manager account using a business email address the company controls, not a personal email tied to one employee.
  2. Add the Facebook Page and Instagram account as business assets inside Business Manager, rather than leaving them attached to a personal profile.
  3. Assign at least two people as admins, ideally including the business owner even if they are not the day-to-day social media manager to prevent a single point of failure.
  4. Grant contractors and agencies partner access at the asset level (Page or ad account specific) rather than full admin access to the whole Business Manager.

The instagram-linked-to-the-wrong-page problem

Instagram professional accounts need to be linked to a Facebook Page to unlock full Business Suite functionality, including running ads and using the unified inbox. A common pitfall is linking the Instagram account to the wrong Page: sometimes a legacy Page from years earlier, sometimes a Page for a different location of a multi-location business. Before publishing anything, it's worth confirming in Business Suite's settings exactly which Page an Instagram account is linked to, since posts and ad campaigns can end up misattributed if this connection is wrong.

Ad account ownership and payment method traps

The Business Manager setup you skip on day one is the access problem you inherit a year later, usually at the worst possible time.

Permission roles worth understanding before assigning them

Business Manager offers several access tiers, including admin, employee, and asset-specific roles; it is worth resisting the temptation to make everyone an admin for simplicity. An admin can change business settings, add or remove other people's access, and see billing information; someone who only needs to post content or respond to messages should get a narrower role scoped to just the Page or Instagram account they work with.

A quick audit for a business that's been running for a while

Even for a Meta presence that's been active for years, it's worth running a short access audit: who currently has admin access to the Business Manager, is that list still accurate, is the Page owned by the business's own Business Manager rather than a personal profile or a former agency's account, and is there a documented record, even a simple shared note, of who has access and why.

Getting this right before growth, not after

This setup works most before a business scales its use of Meta platforms: adding ad spend, bringing on an agency, or hiring dedicated social media staff. Untangling ownership after the fact, while a business is actively depending on that Page for leads or bookings, is far more disruptive than setting it up correctly the first time.
